The Administrative Support/Accounts Payable is a crucial role that keeps our District operations running smoothly. You will provide support to the accounting department with general accounting functions. This position must be organized, detailed, focused and have a strong attention to accuracy.

This is a part-time, non-benefit eligible position. The hours for this position will not exceed 29 hours per week. We offer flexible scheduling hybrid work from home options, vacation, sick, and holiday pay.

Responsibilities

Under supervision of the HR/Accounting Coordinator, responsible for accurate data entry of accounts payables, including check delivery/mailing and filing. Providing support to the accounting department with other accounting functions, utilizing Great Plains Dynamics accounting software. Generate reports and presentations. Support Human Resources and Accounting departments in various administrative duties.

ESSENTIAL DUTIES

  • Assists with administrative processes. Responsibilities include accurate data entry of the accounts payable using Great Plains software, check delivery/mailing, filing invoices/payments, prepare, organize, and maintain vendor files for current and future use and reference, assist with records retention.
  • Assist Executive Director with the preparation and assembly of commission packets, and other information as assigned.
  • Gain an understanding of purchase order policy, providing purchase requisition to purchasing managers, and prepare/generate purchase orders.
  • Manage fleet cards, billing, vehicle titles and annual TABs, providing support to facilities.
  • Using Webster, ADP, and Great Plains, collect, and analyze data to produce reports, PowerPoints, and presentations to support administrative needs and requirements.
  • Assist the front desk when needed, sort and distribute mail and other packages, coordinate with vendors to ensure continuity of service.
  • Support the Administrative department with other duties as assigned.

Qualifications

High School Diploma, or equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

KNOWLEDGE REQUIRED

  • Knowledge of accounts payable processes required.
  • Great Plains Dynamics Accounting software experience preferred.
  • Experience with data systems and data entry
  • Knowledge of ADP payroll software helpful
  • Experience with Microsoft office, proficient with Excel and Word.

SKILLS REQUIRED

  • Reading, written communications, and understanding of accounts payable principles and practices.
  • Using a computer and knowledge of Great Plains Dynamics Accounting Software
  • Accurate data entry and attention to detail.
  • Strong Math aptitude
  • Using standard office equipment, i.e.., copiers, fax machine, etc.
  • Maintaining records and preparing reports
  • Prioritizing and completing work projects.
  • Communication, interpersonal skills as applied to interaction with coworkers, supervisors etc., sufficient to exchange or convey information and to receive work direction.

PHYSICAL REQUIREMENTS:

Positions in this class typically require sedentary work, reaching, standing, walking, pushing, pulling, lifting, grasping, talking, hearing, seeing and repetitive motions. Sedentary work involves maintaining a stationary position. Jobs are sedentary if moving is required only occasionally, and all other sedentary criteria are met. Some work requires stooping, kneeling crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, grasping, talking, hearing, seeing and repetitive motions on wet and uneven terrain. Move and transport up to 50 pounds occasionally and/or use force frequently or constantly to manipulate, lift, carry, push, pull or otherwise move objects. Certain work involves bike riding. Incumbents will be subjected to outdoor work and operation of District vehicles and equipment.

Incumbents may be subjected to, moving mechanical parts, fumes, odors, dust, chemicals and extreme temperatures, intense noise, and travel, requires license to operate a motor vehicle.
