ORGANIZATION OVERVIEW:
Face to Face Health and Counseling is a non-profit organization dedicated to advancing economic and health equity for youth ages 11–24. We do this work through a comprehensive approach that includes housing, mental health, medical, youth justice, education & employment, and community services. We take a strengths-based and trauma-informed approach to our work and center the needs of young people impacted by racism and other forms of oppression and marginalization. Founded in 1972, Face to Face serves more than 3,000 youth annually.

JOB SUMMARY:
This position is responsible for assisting the Face to Face Housing Stability Program in the management of youth data. This position works closely with Housing Stability Program staff and the agency-wide Data Coordinator to ensure data entry is completed in a timely and accurate way in both our Apricot and Homeless Management Information Systems (HMIS) databases. This person assists with data reconciliation between systems and pulling together data for grant reporting.

This position is 20 hours a week.

LOCATION: Hybrid – This role allows for a mix of onsite and remote work. Employees are required to be fully onsite during the initial 3-month training period.

PAY & BENEFITS:
The pay rate for this position is between $22 and $22.25 an hour, based on qualifications.

Responsibilities

RESPONSIBILITIES: • Perform regular and timely data entry of client and service data into HMIS; • Assist program staff with regular, timely, and accurate data entry into custom Apricot database; • Reconcile data between HMIS and Apricot databases weekly, ensuring all pertinent information is correctly in both systems when needed; • Perform monthly reconciliation of rental assistance data between finance, case management team, Apricot, and HMIS; • Work with direct service staff to correct missing or conflicting information; • Ensure completion of necessary reporting from HMIS for timely grant compliance and agency statistical analysis; • Keep up-to-date on HMIS data standards and changes for all Face to Face programming and assist program team in implementation of those changes; • Attend funder meetings related to HMIS data and assist Face to Face in meeting funder data requirements; • Work with Data Coordinator to train direct service staff in the collection of data and data entry processes and ensuring accurate data collection; • Become an expert on both HMIS and Apricot databases; • Work with Data Coordinator on regular Apricot data clean-up; • Provide regular reminders and data entry assistance to Housing Stability Program staff; • Work with Data Coordinator to ensure consistent data standards and collaboration across program areas; • Create and run regular reports for Housing Stability Manager and program staff; • Provide statistics and other required information for all organization reporting requirements and funding requests; • Provides all services guided by the evidence-based principles for helping youth overcome homelessness; and • Perform other duties as assigned.

PHYSICAL DEMANDS AND WORKING CONDITIONS: • Ability to perform the duties outlined in the job description. • Ability to perform duties and responsibilities typical of an office environment. • Ability to work at a desk for several hours at a time. • Ability to lift up to 10 lbs. • Face to Face is subject to the government mandate requiring employee COVID vaccination. Qualifications

QUALIFICATIONS: • Minimum of 2-3 years’ experience working with data management systems (HMIS and/or Apricot preferred); • Proficiency with Microsoft Office products; • Excellent analytical and problem-solving skills; • High level of accuracy and attention to detail; • Ability to manage time well, prioritize efficiently and meet competing deadlines; • Flexibility to respond to changing priorities; • Personable and able to work well with direct services staff to improve data collection processes; • Excellent interpersonal, verbal and written communication skills; • Ability to work both independently and as part of a team; • Ability to maintain confidentiality and exercise judgment over the treatment of sensitive issues; and • Demonstrated ability to work and communicate effectively with people of diverse ethnic, economic, racial and cultural backgrounds.
