Administrative Assistant

The St. Paul & Ramsey County Domestic Abuse Intervention Project (SPIP) was founded in 1984 and has been a leader in the provision of services for victims of domestic violence and cultivating a community-wide response towards protecting victims and their families, and one day ending domestic abuse.

SPIP is seeking a bright and confident Administrative Assistant Hours: 32 hours a week - Monday-Thursday 8:30-4:30 (in-office position) Responsible to: Operations Director and Executive Director

Duties include: • Manage client related emergency vendor cards, ordering client direct need items. • Manage and maintain record keeping, confidential personnel files, purchasing and control systems, etc. • Assist with new employee paperwork. • Manage donor database. • Manage office mail. • Maintain spreadsheets. • Manage office equipment, maintenance and service contracts and systems. • Manage telecommunications systems, assist with technology issues and provide general support to staff. • Coordinate with all suppliers, vendors, equipment reps, and facilities maintenance and repair people, etc. • Assist with the completion of organizational documents and ensuring they are certified. • Manage and build relationships with outsourced functions such as suppliers and contractors. • Maintain an inventory of office supplies and equipment. • Assist with general development duties. • Perform supporting admin duties and assist with scheduling and setting-up meetings. • Assist in entering client data. • Assist with implementation of and act as inhouse conduit to SPIP’s database provider. • Assist with special events. • Assist in answering phones when needed. • Perform other duties as assigned.

Pay and Benefits: $20 per hour; Excellent comprehensive medical, dental, disability and life insurance, and generous paid time-off are provided. Additional Information: Valid driver’s license, vehicle and auto insurance required 3 professional references available when applying.

Qualifications

Required education: Associate College degree or equivalent professional experience. Required skills and experience: 

  • Proficiency in Microsoft Office, Excel, Word 
  • Office administrative work: 2 years 
  • Excellent organizational skills and attention to detail • Database experience 
  • Good writing and communication skills 
  • Good math skills 
  • Must maintain complete confidentiality 
  • Hold to the highest work ethics 
  • Must pass a criminal background check
